How to Reduce PDF File Size for Email
"Message too large to send" is one of the most common reasons a PDF never reaches its recipient. Most large PDFs aren't bloated because of text — they're bloated because of oversized embedded images, usually from scanning at a higher resolution than the document actually needs.
What actually makes a PDF large
- Scanned pages: a page scanned at 600 DPI in color can be 5-10x larger than the same page at a print-ready 150-200 DPI.
- Embedded fonts: documents with many custom fonts embed the font data itself, which adds up across pages.
- Uncompressed images: photos pasted in at full camera resolution instead of resized for the page.
How to compress without ruining readability
- Open Compress PDF.
- Upload your file and choose a compression level. Moderate compression targets image data specifically, leaving text crisp and fully selectable.
- Download the result and compare — for scanned documents you'll typically see file size drop by 60-90% with no visible difference at normal reading zoom.
If it's still too big
